Cancellation and Refund Policy

Fertility treatments can be unpredictable. While we are committed to giving you the highest quality of care, we cannot guarantee a successful pregnancy or that complications will not arise. This policy outlines how refunds and cancellations are handled to ensure transparency throughout your journey with us.

Cancelled or Abandoned IVF/ ICSI/ PICSI Treatment Cycle

Before Egg Collection

An IVF/ ICSI/ PICSI cycle may be cancelled or abandoned for a variety of reasons, including:

  • Poor or no response to hormonal stimulation.
  • A high risk of developing ovarian hyperstimulation syndrome (OHSS).
  • Illness, such as flu or COVID-19.
  • Discovery of endometrial polyps during stimulation.
  • Personal reasons, based on your choice.

If your treatment is cancelled before egg collection, you will be charged £200 per completed ultrasound scan appointment. Any other services you have paid for, but not yet used, such as the HFEA fee, blastocyst culture, IVF fee, ICSI fee, PICSI fee, or embryo glue, will either be refunded to you or held as a credit for future use.

 

After Egg Collection

An IVF/ ICSI/ PICSI cycle may be cancelled or abandoned after the egg collection procedure for a variety of reasons, including:

  • No eggs were collected.
  • Eggs failed to fertilise.
  • Abnormal fertilisation or embryo development.
  • No embryos developed.

If your cycle is not completed for any of the above reasons, we will refund £250 of the original IVF treatment fee. Any other services you have paid for, but not yet used, such as the HFEA fee, blastocyst culture, embryo glue, ICSI fee, or the PICSI fee, will either be refunded to you or held as a credit for future use.

Please note: Herts & Essex Fertility Centre cannot accept returns or issue refunds for medication once it has been dispensed and left the premises.

 

Medically Advised Freeze All

In some cases, a consultant may advise halting a fresh embryo transfer and freezing the embryos for medical reasons. This is often recommended if you are at high risk of developing OHSS.

If this medical decision is made, we will cover the costs of:

  • Embryo freezing.
  • The first year of embryo storage.
  • One follow-up consultation.
  • One treatment information appointment with a nurse before your first Frozen Embryo Replacement (FER) cycle.

You will be responsible for the cost of your FER cycle and any associated expenses (medication, blood tests, etc.). However, because the embryo freezing was a medical decision, we will offer you a discounted rate of £1,675 for your first FER, a significant saving from our standard price of £2,395.

 

Cancelled or Abandoned Frozen Embryo Replacement (FER) Treatment

Before Embryo Thawing

If your FER cycle is cancelled before the embryos are thawed, you will be charged £200 per completed ultrasound scan appointment. Any other unused, prepaid services, such as the HFEA fee, FER fee, or embryo glue, will either be refunded to you or held as a credit for future use.

 

After Embryo Thawing

If your FER is cancelled after embryos have been thawed (e.g., if they fail to thaw or cleave), we will refund £250 of the original FER treatment cost. Any other unused, prepaid services, such as the HFEA fee, or embryo glue, will either be refunded to you or held as a credit for future use.

Cancelled or Abandoned Intra-Uterine Insemination (IUI) Treatment

If your IUI cycle is cancelled before insemination, you will be charged £200 per completed ultrasound scan appointment. Any other unused, prepaid services, such as the HFEA fee or IUI fee, will either be refunded to you or held as a credit for future use. If insemination has taken place, the IUI treatment is considered complete, and no refund will be issued.

As a gesture of our commitment, if your IUI treatment is unsuccessful after three attempts, we offer a complimentary follow-up consultation if it is booked within three months of the last failed treatment.

Changes to Treatment

On medical grounds, your treatment plan may need to be adjusted. This includes, but is not limited to the following:

  • The need for ICSI.
  • A change in medication dosage.
  • A change in the treatment protocol.
  • The need for elective freezing.
  • The need for additional blood or diagnostic tests.

We will provide you with important information about any recommended changes as soon as possible. Any alterations to your treatment may incur additional costs, which will be communicated to you promptly.

 

Genetic Testing

If you have paid for genetic testing, no refund can be given once a biopsy has been performed.

Loyalty Offer

Patients who have paid for and completed a fresh IVF/ ICSI/ PICSI cycle that was unsuccessful are offered a 10% discount on their next fresh IVF/ ICSI/ PICSI cycle (blastocyst culture and medication are not included). This offer must be used within one year of the last failed cycle. This offer is available for fresh IVF/ ICSI/ PICSI cycles only and does not apply to patients on specific programs such as Access Fertility, Assured Fertility, Gaia Family, Egg Sharing, or those undergoing IUI, FER, or Surrogacy cycles.

General Terms

We reserve the right to cancel appointments and discontinue treatment or provision of services for non-payment of our fees.
